What You Can Create in This Guide

Getting organised as a band can feel overwhelming. Between messages from venues, files scattered across drives, riders that never seem fully updated, and schedules constantly moving, it’s easy to lose track of the details.

Stage Portal is built to fix that.

In this short guide, you’ll learn how to:

  • Create your Stage Portal account
  • Set up your band profile
  • Invite your bandmates

These steps form the foundation of your band’s workspace, once these are complete, you’ll be ready to start adding gigs, building riders, creating setlists, and more.

Setup time: 5–10 minutes

Step 1: Start your 30-day free trial

The first step is creating your Stage Portal account and setting up your band’s profile.

Visit: https://band.stageportal.gg/getstarted/

Here you can start your 30-day free trial, no credit card is required.

Step 2: Add your band details

Once your account is created, you’ll be prompted to enter:

  • Band name
  • Genre
  • Location
  • Main contact email

These details help keep your profile consistent and professional, especially when communicating with venues.

Step 3: Welcome to your Stage Portal workspace

Your workspace is the central hub where you’ll manage:

  • Gigs & rehearsals
  • Riders (tech + hospitality)
  • Stage plots
  • Setlists
  • Communication
  • Expenses
  • Files & documents

Step 4: Invite your bandmates

Click Members → Add New and add their details and email addresses.

Your bandmates will receive an email invitation with simple instructions to join. Once inside, each member will have access to the information that matters to them, while admin-level users can control all details.

If someone doesn’t accept their invite immediately, you can resend it at any time.

Tip: Add everyone early so responsibilities are shared and communication stays centralised from the start.

Next Steps

Once your band account is set up and your members are added, you're ready to:

  • Add your upcoming gigs
  • Build your technical and hospitality riders
  • Create your stage plot
  • Generate your setlists
  • Track expenses
  • Centralise all communication
  • Share your band profile with venues
