A Guide To

How to Get Your Venue Set Up in Stage Portal

Setting up your venue in Stage Portal takes just a few minutes, and once you’re done, every gig, rider, asset, and piece of communication finally lives in one organised place. This guide will walk you through the first steps so you can get your venue ready to use Stage Portal confidently and quickly.

Whether you’re running one event or an entire programme, Stage Portal gives you a simple system to manage everything without the additional admin stress.

What You Can Create in This Guide

Getting organised as a band can feel overwhelming. Between messages from venues, files scattered across drives, riders that never seem fully updated, and schedules constantly moving, it’s easy to lose track of the details.

Stage Portal is built to fix that.

In this short guide, you’ll learn how to:

  • Create your Stage Portal account
  • Set up your venue profile
  • Invite your team

These steps form the foundation of your venue’s workspace, once these are complete, you’ll be ready to start adding gigs, organising crew, managing assets, and more.

Setup time: 5–10 minutes

Create Your Venue Account

The first step is creating your Stage Portal account and setting up your band’s profile.

Step 1: Add your venue details
Once your account is created, you’ll be prompted to enter:

  • Venue name
  • Key Details
  • Location
  • Main contact email

Step 2:  Welcome to your Stage Portal workspace
Your workspace is the central hub where you’ll manage:

  • Gigs & Bookings
  • Equipment
  • Tech Requirements
  • Schedules
  • Crew Information
  • Vendor Information
  • Expenses and Income

Step 3:  Add your rooms and stages
Stage Portal has the option to add stages and rooms such as event spaces or green rooms. To add stages or rooms, you can
Click Stages → New Stage or Click Room → New Room
And continue by entering the relevant details.

Step 4: Invite your team
Click Employees → New Employee and add their details and email addresses.

Your employee will receive an email invitation with simple instructions to join. Once inside, each member will have access to the information that matters to them, while admin-level users can control all details.
If someone doesn’t accept their invite immediately, you can resend it at any time.

Tip: Add everyone early so responsibilities are shared and communication stays centralised from the start.
