A Guide To

How to Add Assets in Stage Portal

For venues, keeping ontop of your equipment and assets is key to running smooth events. You can use Stage Portal to manage all of your equipment directly in the platform.

This guide will walk you through how to add and manage your assets inside Stage Portal.

Before You Begin

To follow this guide, you’ll need:

  • A Stage Portal account
  • Your venue profile already created

If you haven’t set up your profile yet, you can complete that first:
Guide: How to Set Up Your Venue in Stage Portal (link placeholder)

Add Your Assets

Step 1 — Adding Assets

Once you're logged in:

You have two options on how to add assets into Stage Portal

  1. Individually through the Asset Manager
  2. Or bulk upload using the configuration tool.

Below we will take you through both options.

Option 1 Add Assets Individually

In the asset section to add a new asset click
➕ New Asset.

  • Add Your Details
Here you’ll enter all the key information, including:
  • General Information: In the general information section you can select which venue the asset is for and which location. Equipment can either be movable or locked to a specific stage.
  • Classification: Next in the classification section you can select the asset category and asset type from the drop down menus.
  • Asset Information: Here you can add the manufacturer name, the name of the piece of equipment and the quantity you have.
  • Purchase Information: You can also add the purchase price and purchase date. This is key to add if you want to be able to pull the asset report from Stage Portal to calculate depreciation etc for accounts.

Option 2 Use Configuration Tool

To bulk upload your assets, which is very useful when onboarding or adding in multiple assets quickly, you can click on the Configuration button on the left hand menu.

Here you can click on the Import Assets and download the CSV template. Once you have added all of your assets in the CSV template you can then upload it using the file upload. Once you have uploaded it you can click the upload button at the bottom and it will import all of your assets.

Step 2 — Managing Equipment
Now you have your assets imported, you can manage them through the assets section, either by clicking on the asset button on the left hand menu or in the asset menu option in your venue workspace.

Here you can search your assets, update or delete them and also make if they are active or not. If you make the asset as inactive, for example if it is being serviced then that will mean that it cannot be booked out.

Adding to events
In the backline tab you can add your assets to a specific event, this will then allow crew members to see what equipment is needed for specific shows.
